How to Use the PST2GB Tool to Fix Oversized Outlook Data Files

If your Microsoft Outlook application is crashing, freezing, or refusing to open, you are likely dealing with a corrupted Outlook Data File (.pst).

A specific type of corruption happens when older Outlook data files hit their physical limit. This beginner’s guide covers PST2GB, a specialized tool built to handle this exact emergency. What is PST2GB?

The PST2GB tool (also known as the Oversized PST Truncation Utility) is an official legacy utility developed by Microsoft.

The Core Purpose: It restores a heavily corrupted PST file back to life by shaving off a tiny sliver of data to reduce its size.

The Target Problem: Early legacy versions of Outlook (such as Outlook 2002, 2000, and 97) stored data in an ANSI format. This format has a hard, unyielding limit of 2.0 Gigabytes (GB).

The Crash Mechanic: The exact moment a legacy file reaches 1.96 GB to 2.0 GB, the file index breaks instantly. Outlook will lock up and refuse to read the file, rendering your emails completely inaccessible.

Because Outlook has no built-in mechanism to shrink a file that is already locked up, Microsoft created PST2GB as a necessary standalone rescue tool. The Massive Catch: Data Truncation

Before using PST2GB, you must understand how it works: it deletes data to save the file.

The tool cuts out a user-defined amount of data (usually between 20 to 50 Megabytes) from the file.

This drops the total size safely back under the 2 GB threshold.

The clipped data is permanently deleted and completely unrecoverable.

Note: Think of it as an emergency amputation to save the patient. You will lose your newest emails or calendar events, but you will save the remaining 98% of your mailbox. Step-by-Step Guide: Using PST2GB

Because this tool modifies your data directly, you must follow these steps precisely: Step 1: Make a Backup

Never run data-cutting utilities on your only copy. Locate your broken .pst file (typically found in your user files under AppData\Local\Microsoft\Outlook) and copy it to a secure backup folder. Step 2: Run PST2GB Launch the Pst2gb.exe application. Click Browse to choose your oversized, corrupted file.

Click Create and select a destination folder and name for the new, smaller file you are about to generate.

Enter the amount of data you want to slice off. It is highly recommended to start small, between 20 MB and 25 MB. Click to begin the truncation process. Step 3: Run the Inbox Repair Tool (SCANPST)

PST2GB only reduces the file size; it does not repair the internal formatting errors caused by the truncation. You must now use Microsoft’s native repair utility: How to Repair Corrupt Outlook PST Files (Tutorial)
